Title: Acquisitions Assistant                                                                                                   Posted: Feb. 18, 2010

 

Job Responsibilities:  Under general supervision, the Acquisitions Assistant performs bookkeeping functions for the library, provides clerical support to the Fiscal Officer, is the purchasing clerk for the library (to include materials and supplies), and performs other duties associated with the library’s technical services department and cargo process. 

 

Qualifications:  High school diploma or equivalent with coursework in accounting and computer applications or an equivalent combination of education, training, and experience as well as the ability to operate a computer and keyboard

 

Knowledge of:  Library policies, procedures, and techniques (may be acquired after hire), generally accepted accounting principles, financial record keeping requirements, bookkeeping, office practices and procedures, inventory procedures, Microsoft Word and Excel, Software Solutions, Inc. or similar accounting software

 

 

Working Conditions:  This position is budgeted for 20 hours per week.  The Acquisitions Assistant will generally work a regular schedule throughout the work week but may be called upon to fill in for other staff or for special events or projects, so flexibility in scheduling is required. 

 

Starting Pay Range:  $10.00 – $12.00 per hour based on experience.

Responsibilities:

 

35% Bookkeeping Assistance:

·         Prepares and enters purchase orders, receipts, and invoices using accounting software

·         Enters and updates vendor information using accounting software

·         Compiles and prepares financial reports, bank statements, monthly check reports, etc. in absence of Fiscal Officer

·         Files purchase orders and invoices, processes daily cash count from fines, gift money, and fees and writes necessary receipts

·         Prepares daily deposit and performs banking duties

 

 

30% Acquisitions/Receiving:  

·         Serves as liaison between the library and vendors

·         Prepares requisitions for purchase orders and forwards them to the Fiscal Officer for processing

·         Orders library materials in all formats

·         Unpacks materials and verifies that invoices match packing slips and materials received

·         Prepares materials to be processed by the Technical Services/Cargo Assistant in an efficient manner

·         Processes credits, discounts, and backorders, ensuring that errors are corrected and applicable discounts apply

·         Verifies orders and forwards them to Fiscal Officer for payment

·         Maintains status of outstanding materials, standing orders, etc.

·         Returns merchandise as necessary

 


 

15 % Clerical Assistance:

·         Prepares and proofreads correspondence and reports

·         Assists in maintaining financial files, including but not limited to, payments/invoices, purchase orders, etc.

·         Prepares Board minutes and agenda in the absence of Fiscal Officer

·         Performs data entry assignments as assigned

·         Compiles information for the Director and Fiscal Officer as assigned

 

15% Cargo:

·         Organizes and keeps inventory of packing and labeling materials

·         Checks in and processes incoming materials, separating and organizing them for frontline staff

·         Prepares outgoing materials for travel via US Cargo

 

5% Other tasks as assigned:

·         Attends staff meetings

·         Adheres, supports, and effectively implements administration and library board policy

·         Understands and upholds the principles of Intellectual Freedom

·         Sorts and delivers mail

·         Orders library supplies and monitors inventory

·         Maintains and increases knowledge and skills through attendance at meetings, conferences, and in-service training sessions

·         Performs additional duties and assignments as requested by the Director or Fiscal Officer
